Overview
Use the AI Assistant in the Webapp to ask questions about document content or generate summaries of PDFs and Office documents, so you can get insights without reading the documents in full. You can:
- Ask AI in Documents — also see Document Management
- Ask AI in Ticket Attachments — also see View Ticket Attachments
- Ask AI by Uploading Temporary Files in the Chat
Supported file types:
- Word (docx, doc, odt)
- Excel (xlsx, xls, ods)
- PowerPoint (pptx, ppt, odp)
- Text files (txt)

Access & permissions
Available to all in-house users. Subcontractors and watchers do not have access.
What You Can Do
The AI Assistant helps you understand the content of one or more documents without reading them in full. You can summarise, extract specific information, compare documents, and identify key points.
Common Use Cases
Summarise a Document
Generate a concise overview of a specification, report, manual, contract, or any other project document.
Example queries:
- "Summarise this document"
- "What are the main points in this report?"
- "Provide a short executive summary"
Extract Key Information
Ask for specific data, clauses, requirements, or structured outputs.
Example queries:
- "What are the acceptance criteria in this spec?"
- "List all referenced standards"
- "Extract the payment terms"
- "What is the defects liability period?"
- "List all action items with owners and due dates"
Compare Documents (Temporary Uploads Only)
Upload two documents in the chat to compare requirements, revisions, or detect conflicts.
Document comparison works only for files uploaded temporarily in the chat.
Example queries:
- "Does this submittal comply with the specification?"
- "What changed between Rev A and Rev B?"
- "Are there any conflicts between these two contracts?"
- "What's missing from this submission?"
Analyse Registers and Spreadsheets
Upload Excel files such as NCR logs, submittal registers, or delivery schedules to analyse trends and identify risks.
Example queries:
- "Are there any overdue items in this log?"
- "Summarise the NCR trends by trade"
- "Which deliveries are at risk?"
Extract Text from Drawings
Upload drawing PDFs to extract written information such as notes, legends, drawing numbers, or revisions.
Example queries:
- "List the drawing numbers and revisions"
- "What do the general notes say?"
- "Extract the legend from this drawing"
The AI Assistant can read text on drawings but cannot measure distances, analyse layouts, or detect clashes.
How Document Processing Works
The AI Assistant processes documents differently depending on how you access them:
- Documents stored in Document Management: Indexed and searchable by topic. Ideal for summarising and finding relevant information across multiple files.
- Files uploaded temporarily in chat: Processed as full text, allowing detailed line-by-line analysis and document comparison.
Files uploaded to Documents or Ticket attachments are automatically indexed for Ask AI.
While indexing is in progress, a spinning circle is shown on the attachment in the chat. You can ask questions once indexing is complete.
Ask AI in Documents
There are multiple ways to Ask AI to get insights about documents with the AI Assistant.
You can do that for a single or multiple files, with a maximum of 10 documents per request. If you select a folder the first 10 documents will be selected automatically.
How to access Documents
Ask AI is available in Documents - for All files and for Ticket attachments. To get there:
- Click Documents
- Click All files or Ticket attachments
Once you’re in All files or Ticket attachments, you can access the Ask AI option in several ways:
In the File or Folder List
- Navigate to the file or folder that you want to summarise
- Open the More menu
- Click Ask AI
In Bulk Actions
- Select the files or folder that you want to summarise
- Click Bulk actions
- Click Ask AI
In the File or Folder Details
- Navigate to the file or folder that you want to summarise
- Open the More menu
- Click File details
- Open the More menu
- Click Ask AI
In the File Preview
- Click on the document to open the preview
- Open the More menu
- Click Ask AI
Ask AI in Ticket Attachments
Ask AI is also available in the attachments gallery of a ticket.

In the Attachments List View
- Click Tickets
- Click on a ticket
- Click Show all attachments

Ask AI by Uploading Temporary Files in the Chat
You can also get insights about documents by uploading them in the AI Assistant chat.
Files uploaded in the chat are not stored in your project. They are processed temporarily for the current AI session only.
Files uploaded in the chat are not saved permanently and will expire when the chat session ends. To save files permanently upload them in Documents or Tickets.
Upload up to 3 files per message with up to 10 MB per file. There is a processing limit of 100 pages for all 3 files combined. For best performance, it is recommended to keep the total page count below 60.
To upload files temporarily in the chat and ask questions:
- Click the + icon
- Select the file(s) in your computer's file browser
- You see the files that are attached to your message
- Enter a question or give instructions e.g. summarise this document
- Click the send icon
