Overview
When you Create & Edit Forms you can edit form settings to define which additional functionality is available for tickets created with that form.
Under form settings there are also Ticket permissions to define which roles can create tickets with this form or view tickets which use this form.

Access & Permissions
To edit form settings you need an in-house user with the user permission Forms and Lists. Read more in Permissions.
Edit Form Settings
- Click Forms and Lists
- Click Forms
- Click on the form in the list e.g. Order of Work
- Activate or deactivate the toggles for the available form settings
- Click Save
If you don't see the form settings because the field properties panel is open:
- Click X to close the field properties
- Click Form settings
Available Form Settings
The first three form settings—Attachments, Comments, and Plan position—are enabled by default.
Attachments
Allow users to attach photos, videos, voice recordings, and documents to tickets.

Browse & Filter Attachments
Comments
Allow users to comment on tickets to ask questions or share information.
Read more in Comment a Ticket.
Plan position
Allow users to add a plan position to tickets and create tickets in the plan or BIM view.

Geographic location
Allow users to add a geographic location (GPS coordinates) to tickets.

Recurring activity
Allow users to define a schedule to automatically reopen tickets to support recurring activities.

Locking
Allow users to lock tickets. For locked tickets you can still edit the assignee, receiver, progress, status and write comments. This allows to collect signatures from multiple users.

When you enable Signatures or Approval workflows, locking will be enabled automatically. It cannot be disabled, because it is required for those two features.
Forms that are used by locked tickets cannot be edited.
Duplicate the form if further changes are required. Also see Manage Forms > Duplicate.
Signatures
Allow users to sign locked tickets, as a final approval or handover for completed tickets.
When you enable Signatures, the 'Sign as someone else' checkbox is selected by default.
To prevent users from signing as someone else than the logged-in user:
- Clear the Sign as someone else checkbox

Numbering Sequence
The numbering sequence option lets you add a customizable ticket number that automatically counts up with each new ticket created with this form.

Prefix (optional): Add up to 10 alphanumeric characters (letters and numbers only). Special characters and spaces are not allowed.
- If you use a prefix, it will always be separated from the number with a dash (-).
- Example: RFI-10001
- Starting number: The sequence begins at 1 by default. You can set a higher starting number (e.g., 10001) if needed. Numbers with leading zeros (e.g., 0001) are not supported.
To enable the numbering sequence:
- Activate the Numbering sequence toggle
To configure the numbering sequence:
- Click Configure
- Enter a Prefix
- Enter a Starting number
- Click Save
- You can see the Preview of the first number that will be used in a ticket.
Approval Workflows
Allow users to request approval for tickets. Read more in Approvals.
Enabling this toggle is required before you can select approval workflows when the form is added to a project. Read more in Manage Approval Workflows of a Project > Manage Workflows of Forms.
Ticket Completion Bar
Show a bar at the top of a ticket indicating how complete its fields are, shown as a percentage. The completion bar is read-only and calculated automatically — it updates live as users fill in the ticket and cannot be set by hand. Read more in Fill in the Form of a Ticket > Ticket Completion Bar.
These fields count towards completion:

To enable the ticket completion bar:
- Enable the Ticket completion bar toggle
To count only checklist fields towards completion:
- Select the Only count checklist fields checkbox
To keep the completion bar always visible when scrolling down in the ticket form in the Webapp:
- Select the Keep completion bar visible checkbox
The bar only counts fields a user can actually see. Fields hidden by field permissions or by conditional visibility rules drop out of both the count and the total, so two people can see different completion percentages for the same ticket. Fields that already have a default value count as completed as soon as the ticket is opened, so the bar can start above 0%.
The completion bar is not the same as the manual Progress field. The bar is calculated automatically and cannot be edited, while Progress is a value you set by hand. A ticket can use both. Read more in Set Status & Progress of a Ticket.
Group Completion Bar
Group completion bars work like the ticket completion bar, except that they are not applied to the whole form in form settings, but instead they are applied to one or more groups of ticket fields.
They are completely independent from the ticket completion bar. You can use both, or only one of them.
The same fields count towards completion, and you have the same option (per group) if you only want to count the completion of checklist fields.
To enable the group completion bar for a group:
- Click on the group e.g. Fire extinguishers
- Enable the Group completion bar toggle
To count only the completion of checklist fields for a group:
- Select the Only count checklist fields checkbox
Ticket Permissions
Ticket permissions for forms work the same way as field permissions.
By default all roles can create and view tickets using this form.
To restrict creating and viewing to certain roles:
- Disable the All roles can view and edit toggle
- Remove or add roles under Can see tickets and Can create tickets
- Click Save

Keep in mind that users still need a role that allows them to view or create tickets in general (independent from the form and its ticket permissions). Read more in Permissions.
You can see if a form has ticket permissions restricted to certain roles by the icon in the ticket permissions column:
