Fill In & Edit Document Attributes in the Webapp

Overview

Attributes add structured information to your files in Documents — for example the trade, the document type, the building or a status. You see them as columns in the file list and in the file details, and you can sort and filter the list by them to find the right files quickly.

Files carry attributes; folders do not. Which attributes a file has depends on its project: only attributes that are applied in Documents show up here. Read more in Manage Attributes of a Project.

Access & Permissions

See the Attributes of a File

Each attribute is a column in the file list, with the attribute name as its header. Folder rows stay empty.

To show or hide attribute columns:

  1. Click the gear icon above the list.
  2. In View options, select or clear the attributes.

To sort the list by an attribute, click its column header.

To see all attributes of one file, including the ones hidden in the list, open the file details. The Attributes section shows each attribute with its value.

Edit the Attributes of a File

New files get the default value of each attribute when they are uploaded. You can change the values afterwards.

To edit the attributes of a file:

  1. Open the file details.
  2. Click Edit in the Attributes section.
  3. Enter or change the values.
  4. Click Confirm.

You can also edit a single value directly in the file list: click the cell, change the value and confirm it.

Every change is recorded in the activity log of the file. Read more in View Activity Log for Files & Folders in the Webapp.

Edit Several Files at Once

To set the same values on several files:

  1. Select the files.
  2. Open Bulk actions.
  3. Click Edit attributes.
  4. Enter the values. Fields that differ between the selected files show Multiple values — leave them as they are to keep each file's value.
  5. Click Confirm.

Folders in the selection are skipped.

Filter Files by Attributes

Attributes are filters in the Documents filter bar, next to the standard filters. Read more in View & Find Files/Folders.

To show only the files with certain values:

  1. Click the filter icon.
  2. Click Add and select the attribute under Attributes.
  3. Enter the value you are looking for, or select one or more list items.

Depending on the type, you can filter for text that a value contains or equals, for numbers and dates in a range, or for list items. You can also show only the files where an attribute is empty or filled in. Checkbox and time attributes cannot be used as filters. If you filter by several attributes, only the files that match all of them are shown.

The filter shows files only, no folders. Like every filter in Documents, it applies to what you are viewing: the current folder, or all files if you view all files or search in subfolders.

Copy & Move Files

When you move a file, it keeps all its attribute values. When you copy a file within the project, the copy keeps the values of the attributes that apply at its new location.
